Spring 2023 Deadlines

Chapters who miss deadlines/submit late forms may NOT be eligible for Navy-status. Chapters may view current EOE tracking here: Spring 2023 EOE Tracking. Note, chapters will need to request access to view their organization’s files. Additionally, please pay attention to the last updated date on the details page, as the tracking is manual and will not be updated daily.

April 2023 Deadlines

Bid Day/New Member Presentation Agreement Final Deadline 

This is the last day to submit an agreement for Spring 2023 bid day/new member presentations. Agreement must be submitted via the New Member Presentation/Bid Day Agreement Form two-weeks prior to the event.

April 8
New Member Report Final Deadline

This is the last day to submit your Spring 2023 new member report. Report must be submitted using the New Member Report Form within 10 business days of the start of the new member education/intake program.

April 16
Prevent Zone Trainings Final Deadline

This is the last day for all new/associate members and new transfer members to complete the three Prevent Zone trainings: (1) brave and bold dialogues, (2) hazing prevention 101, and (3) fraternity and sorority life. All new members should complete these three modules within 10 days of starting their new member education/intake program.

April 16
New Member Initiation Final Deadline

All new/associate member programs must conclude and all new/associate members eligible for initiation must be initiated by this date.

Roster Update - End of Semester

    • Review your roster on UConntact to make sure that all members are included AND all new members are indicated as “Associate Member.” (Please leave Spring 2023 new members as "associate member" through the next term's first roster update.) If members are missing, click on the “Invite People” button to invite them and make sure the accept the invitation by the deadline.
    • “End Membership” of any associate that was not initiated and any other person that left the chapter. DO NOT REMOVE MAY GRADUATES/TRANSFERS, unless they cancelled during the spring semester.
April 30
End of Semester Report

All organizations are expected to submit an End of Semester report. The report must include:

  • Officer Information
  • Semester Reflections (highlights and challenges)
  • Service and Philanthropy Report
    • Navy-status: Chapter hosts three (3) philanthropy events AND complete an average of 10 volunteer hours per member.
    • Grey-status: Chapter hosts two (2) philanthropy events AND complete an average of 5 volunteer hours per member.
April 30
Program Reflections Final Deadline

Upon completion of an educational, collaborative, or philanthropic program, the chapter is responsible for completing the Program Reflection within 10 business days of the program. Reflections will not be accepted after this final deadline.

Rolling Spring Deadlines (based on chapter schedule)

Educational Program Proposal

Organizations must submit an Educational Program Proposal for programs not included on the pre-approved program list. All proposals must have their event approved in advance by CFSD. Please review the Requirements for Educational Programs before submitting.

5 business days prior to anticipated event.
Educational Program Reflections

Upon completion of an educational program, the chapter is responsible for completing the Educational Program Reflection  and providing documentation of attendance participation.

  • Navy-status: 2 educational programs
  • Grey-status: 1 educational program
Within 10 business days after the program. Reflections will not be accepted after April 30.
Collaborative Event Reflections

Upon completion of the collaborative event, the chapter is responsible for completing the Program Reflection and providing documentation of attendance participation. Each collaborating chapter must submit their own reflection.

  • Navy-status: collaboration with a chapter in the SAME governing council AND collaboration with a chapter in a DIFFERENT governing council
  • Grey-status: collaboration with a chapter in the SAME governing council
Within 10 business days of start of the program. Reflections will not be accepted after April 30.
Philanthropic Event Reflections

Upon completion of the philanthropic event, the chapter is responsible for completing the Program Reflection and providing documentation of attendance participation, how much money was raised, and where the funds were donated. 

    • Navy-status: Chapter hosts three (3) philanthropy events
    • Grey-status: Chapter hosts two (2) philanthropy events
Within 10 business days after the program. Reflections will not be accepted after April 30.
Request for Intake/Recruitment

The Request for Intake/Recruitment form must include:

  • New Member Education Program
  • New Member Education Calendar
  • On-campus space reservation confirmation(s)
  • Off-campus activity request (if applicable)
2 weeks before the start of your Intake/New Member Education
New Member Education/Intake Officer Advising

Staff member will reach out to the chapter new member educator/intake officer to schedule meetings taking place within 2-weeks of submitting request for intake/recruitment. To find your CFSD advisor, visit: Meet Our Team

Bid Day/New Member Presentation Agreement

Semester Status Update

Your chapter president will receive the semester status update by June 9, 2023.

This is an e-mail sent to chapter presidents BY the Center for Fraternity & Sorority Development. The chapter status shared in the status update are contingent upon academic grade reports (while we anticipate receive the report before the status update, we cannot guarantee that). Review the scholarship requirements or talk with your CFSD chapter coach for more information.
